Staff settings on Shopify POS

If you're the store owner or have full permissions, then you can add or remove staff members who have access only to POS using the Shopify POS app. You can create any number of POS staff accounts.

When you add POS-only staff members, they don't have access to your Shopify admin. To give staff access to the Shopify admin, you need to add them as a staff member from your Shopify admin.

POS-only staff members require a unique four-digit personal identification number (PIN) to access the Shopify POS app to conduct sales.

When a logged-in staff member processes a checkout through Shopify POS, their staff name is tied to that order. You can check which staff member processed an order on the order's detail view in Shopify POS, and in the order's Timeline in the Shopify admin.

Add a new Shopify POS staff PIN

If you're using Shopify POS and your store is on the Shopify plan or higher, then you can add a new staff member from the in-app settings.


  1. From Shopify POS, tap Store > Staff.

  2. In the Access only to POS app section, tap Add staff.

  3. Enter the staff member's first name, last name, and email address.

  4. Enter a four-digit PIN or tap Generate new PIN so that the staff member can use that PIN to log in to Shopify POS.

  5. Tap Add PIN.

Edit a POS-only staff member's details

If you use Shopify POS and your store is on the Shopify plan or higher and you use an iPad, then you can edit the details for POS-only staff members from the POS app.

You can't edit the details for admin staff using the POS app. If you need to edit the details for admin staff, you must use your Shopify admin.


  1. From Shopify POS, tap Store > Staff.

  2. Tap a staff member's name.

  3. Optional: Make any necessary changes to the staff member's details.

  4. Optional: Tap Change PIN code. Enter a new PIN code or tap Generate new PIN.

  5. Tap Save.

Set limited POS permissions for staff with POS PINs

By default, all new staff POS PINs provide full access to the Shopify POS app. If you want to restrict what POS-staff members with POS PINs have access to when they use Shopify POS, then you can limit their access permissions from the in-app settings.

Staff with full access permissions can do the following actions:

  • Access orders at any location
  • Change location settings
  • Change payment settings
  • Change register shift settings
  • Customize receipts
  • Log out of the store
  • Access apps
  • Access Customers

    If you limit access to Customers, then the staff member cannot access the customer's profile, but they can still create new customers and associate customers with purchases from checkout.


  1. From Shopify POS, tap Store > Staff > Staff settings.

  2. Disable any permission that you don't want that Shopify POS staff PIN to have.

Delete a staff member

If you're the store owner, or have an account with full admin access, then you can delete other staff members' accounts.


  1. From Shopify POS, tap Store > Staff.

  2. Tap a staff member's name.

  3. Tap Delete.
