Staff settings on Shopify POS

If you're the store owner or staff with the Shopify POS login requirements, then you can add or remove staff who only have access to POS using the Shopify POS app. You can create any number of POS staff.

When you add POS app only staff, they don't have access to your Shopify admin unless you also create staff from your Shopify admin. POS app only staff require a unique four-digit personal identification number (PIN) to access the Shopify POS app to conduct sales.

POS app only staff can't log in to the Shopify POS app themselves. The store owner or staff with the Shopify POS login requirements need to first log in and then lock their POS app screen. When this step is complete, a screen to enter a staff PIN appears. If you log out of the POS app, then a store owner or staff with the required permissions has to log in before a POS app only staff can complete a transaction.

When a logged-in staff processes a checkout through Shopify POS, their staff name is tied to that order. You can check which staff processed an order on the order's detail view in Shopify POS, and in the order's Timeline in the Shopify admin.

Add a new Shopify POS staff PIN

If you're using Shopify POS and your store is on the Shopify plan or higher, then you can add new staff from the in-app settings.

Steps:

  1. From Shopify POS, tap Store > Staff.

  2. In the Access only to POS app section, tap Add staff.

  3. Enter the staff's first name, last name, and email address.

  4. Enter a four-digit PIN or tap Generate new PIN so that the staff can use that PIN to log in to Shopify POS.

  5. Tap Add PIN.

Edit a POS-only staff's details

If you use Shopify POS and your store is on the Shopify plan or higher and you use an iPad, then you can edit the details for POS app only staff from the POS app.

You can't edit the details for admin staff using the POS app. If you need to edit the details for admin staff, you must use your Shopify admin.

Steps:

  1. From Shopify POS, tap Store > Staff.

  2. Tap a staff's name.

  3. Optional: Make any necessary changes to the staff's details.

  4. Optional: Tap Change PIN code. Enter a new PIN code or tap Generate new PIN.

  5. Tap Save.

Set limited POS permissions for staff with POS PINs

By default, all new staff POS PINs provide complete access to the Shopify POS app. If you want to restrict what POS app only staff with POS PINs have access to when they use Shopify POS, then you can limit their access permissions from the in-app settings.

POS app only staff can do the following actions:

  • Access orders at any location
  • Change location settings
  • Change payment settings
  • Change register shift settings
  • Customize receipts
  • Log out of the store
  • Access apps
  • Access Customers

    If you limit access to Customers, then staff can't access the customer's page, but they can still create new customers and associate customers with purchases from checkout.

Steps:

  1. From Shopify POS, tap Store > Staff > Staff settings.

  2. Deactivate any permission that you don't want that Shopify POS staff PIN to have.

Delete staff

If you're the store owner, or have an account with the 13 Shopify POS permissions, then you can delete other staff.

Steps:

  1. From Shopify POS, tap Store > Staff.

  2. Tap staff's name.

  3. Tap Delete.
