User profiles in Stocky

Stocky user profiles allow you to have separate login details for each of your employees and restrict access to certain parts of the app. You can activate multiple user profiles in Stocky when you want to customize the capabilities available to certain users. For example, you might want some staff to be able to perform stocktakes in Stocky, but not set up purchase orders.

Each employee is still required to log in from their Shopify account first before being able to access Stocky.

You must first create an Administrator account, and then you can create individual user profiles in Stocky. You must have at least 1 Administrator in your list of Stocky users at all times.

Create the administrator account in Stocky

When setting up user profiles for the first time, you must activate the Administrator account first. Unlike other profiles, Administrator profiles can edit permissions for each profile and delete other user profiles. Administrators can also edit their own profile's Administrator access.

After adding the first Administrator, you can set other users as Administrators as well. You must have at least 1 Administrator in your list of Stocky users at all times.

Steps:

  1. From your Shopify admin, go to Settings > Apps and sales channels.

  2. Click Stocky.

  3. Click Open app.

  4. Click the account icon, and then click Preferences.

  5. Click Users.

  6. Set up the account administrator's login details, including their first and last name, email address, and Stocky profile password.

  7. Click Create and login.

Create user profiles in Stocky

After the Administrator account is created, you can create user profiles for other staff members. After creating the profile, the user must accept the invite to create their login password. After creating the profile, the user must accept the invite to create their login password within 4 hours.

The email address used for the Stocky user profile doesn't have to match the staff email address used to log in to Shopify, but the user is still required to log in from their Shopify account first before being able to log in to their Stocky user profile.

After adding the first Administrator, you can set other users as Administrators as well. Administrators have full account access. To grant individual permissions to a user, the Administrator setting can't be selected.

Steps:

  1. From your Shopify admin, go to Settings > Apps and sales channels.

  2. Click Stocky.

  3. Click Open app.

  4. Click the account icon, and then click Preferences.

  5. Click Users.

  6. Click Create user.

  7. Set up the user's account details:

    1. Add the user's first name, last name, and email address.
    2. Select the permissions that you want the user to have.
  8. Click Send Invite.

The staff member receives an email from Stocky prompting them to create a Stocky account. Staff members must be logged in to their Shopify account, and then click the link in their email to create a password for their Stocky account. The link in the email is active for only 4 hours, and expires after that time. When necessary, you can resend a password reset email.

Logging in and out of a Stocky user account

Having user profiles active in Stocky means that users must log in and log out of Stocky separately from their Shopify account.

To log in to your Stocky user profile, open the Stocky app from your Shopify admin, and then enter the email address and password associated with your Stocky account. Then, click Log in.

You can confirm which account is logged in by checking for this message at the bottom of any page in Stocky: Logged in as NAME at example.myshopify.com. The name and the myshopify.com address will display the first name of the logged-in user, and the Shopify store associated with the Stocky account.

To log out of your Stocky user profile, click the account icon in Stocky, and then click Logout. Closing the Stocky browser tab or window doesn't automatically log you out.

Edit user profiles in Stocky

Users can edit some details about their own Stocky profiles, such as their name, email address, and Stocky account password. User permissions can be updated by an Administrator only.

Edit a profile for another user

Administrators can edit a user profile in Stocky, including their own profiles.

You can't remove Administrator permissions from a user profile when there are no other Administrators. You must have at least 1 Administrator in your list of Stocky users at all times.

Steps:

  1. From your Shopify admin, go to Settings > Apps and sales channels.

  2. Click Stocky.

  3. Click Open app.

  4. Click the account icon, and then click Preferences.

  5. Click Users.

  6. Next to the user profile that you want to edit, click edit.

  7. Update the user's account details:

    • Update the user's first name, last name, and email address.
    • Make any changes to the permissions for the user.
  8. Click Update.

Edit your own user profile

When logged in to Stocky, users can edit their own profile name, email address, and Stocky account password.

Steps:

  1. From your Shopify admin, go to Settings > Apps and sales channels.

  2. Click Stocky.

  3. Click Open app.

  4. Click the account icon, and then click My Profile.

  5. Update your account details:

    • In the Update details section, change your first name, last name, or email address, and then click Update details.
    • In the Update password section, enter a new password, and then click Update Password.

Send a password reset email in Stocky

Administrators can send a password reset email for a user profile in the event that a user can't remember their Stocky password.

Users can also request a password reset email themselves by clicking Forgot password? on the login screen in Stocky.

Steps:

  1. From your Shopify admin, go to Settings > Apps and sales channels.

  2. Click Stocky.

  3. Click Open app.

  4. Click the account icon, and then click Preferences.

  5. Click Users.

  6. Next to the user profile that you want to send a password reset to, click edit.

  7. Click Send password reset email.

Delete a user profile in Stocky

Administrators can delete a user profile in Stocky at any time.

You can't delete an Administrator user profile when there are no other Administrators. You must have at least 1 Administrator in your list of Stocky users at all times.

Steps:

  1. From your Shopify admin, go to Settings > Apps and sales channels.

  2. Click Stocky.

  3. Click Open app.

  4. Click the account icon, and then click Preferences.

  5. Click Users.

  6. Next to the user profile that you want to delete, click delete.

Available permissions for Stocky user profiles

When creating a new user profile, all permissions except for Administrator and API permissions are active by default. You can activate and deactivate permissions for a user profile at any time.

Administrators have full account access. To grant individual permissions to a user, the Administrator setting can't be selected.
