Create or change your PIN for the Shopify POS app

If you've forgotten your PIN or need to create one for the first time, then you can create or change the PIN number that's required to update the POS app.

Before you can use the Shopify POS app to process sales, a Point of Sale staff member must log in to the app with an admin username and password. Learn more about setting up staff for Shopify POS.

After a staff member has logged in, they must use a PIN to access Shopify POS.

Considerations for PIN management with POS

Review the following considerations for creating and changing Shopify POS app pins:

  • If you're a POS only staff, then you can't manage your own pin. The store owner or a user with access to manage PINs needs to change your PIN on your behalf.
  • The following users can edit their own PIN:
  • The store owner.
  • In the POS app, staff members with a POS role with the Manage Point of Sale staff permissions.
  • From the Shopify admin, staff members with access to the Shopify admin and a user role with the Access Point of Sale permission.
  • The following users can edit their own PIN, and edit PINs for other POS staff members:
  • The store owner.
  • In the POS app, staff members with a POS role with the Manage Point of Sale staff permission.
  • From the Shopify admin, staff members with access to the Shopify admin, a user role with the Access Point of Sale permission, an POS role with the Manage Point of Sale staff permission.
  • Only the store owner can manage their own contact information, POS role, and PIN.
  • If the store that you need to change the PIN for is part of an organization, and you aren't the organization owner, then you need a user role with the Access Point of Sale permission on that specific store.

Create or change a POS PIN

If you're the store owner, or a staff member with the required permissions, then you can change a staff member's information from any of the following locations:

  • the POS app
  • the Point of Sale channel in your Shopify admin
  • the store details page of your Shopify admin

Steps:

Shopify POS app
  1. From Shopify POS, tap , and then tap Staff.
  2. Tap the staff member's name.
  3. In the Security section, tap Edit.
  4. Tap Generate random PIN or enter a new PIN.
  5. Tap Save.
Point of Sale channel
  1. From your Shopify admin, go to Settings > Apps and sales channels.

  2. Click Point of sale.

  3. Click Open sales channel.

  4. Click Staff.

  5. Click a staff member's name.

  6. In the PIN section, click Generate random PIN or enter a PIN. If you're changing another staff member's PIN, then make sure that they knows what the new PIN is.

  7. Click Save.

Shopify admin
  1. From your Shopify admin, go to Settings > Users.

  2. Click the user's name.

  3. In the Roles section, click > View store. If your store is part of an organization, then in the View stores dialog, click the store that you want to edit access for.

  4. In the Point of Sale > PIN section, click Generate random PIN or enter a PIN. If you're changing another staff member's PIN, then make sure that they knows what the new PIN is.

  5. Click Save.

Create or change your PIN with legacy permissions

Before you can create or change a PIN for a staff member, the staff member must be granted the Access Point of Sale permission in their staff profile. Learn more about Adding Point of Sales staff.

Depending on your organization's settings, you might need to grant staff members Access Point of Sale permissions based on a POS role or access to the relevant store.

Steps:

Non-Plus plans
  1. From your Shopify admin, go to Settings.

  2. Click Users and permissions.

  3. In the Staff section, click the relevant staff member.

  4. In the Point of Sale section, click Generate random PIN or enter a PIN manually. Make sure your staff member knows their new PIN.

  5. Click Save.

Plus plans
  1. From your Shopify admin, go to Settings.

  2. Click Users.

  3. In the Users page, click the relevant staff member.

  4. In the Roles and groups section, click > View store.

  5. Optional: If your staff member has access for more than one store, then select the relevant store.

  6. In the Point of Sale section, click Generate random PIN or enter a PIN manually. Make sure your staff member knows their new PIN.

  7. Click Save.

Using PINs up to 6 digits

You can assign PINs that are 4, 5 or 6 digits in length. To start using 5 or 6 digit PINs, make sure to update your POS devices to at least the following versions:
