Managing user roles

You can create a new role, customize a predefined role, as well as assign and remove users from existing roles.

You can choose from predefined roles, and create custom roles to fit your business needs. This means that you can accurately and uniformly change user permissions through their role and reduce instances where a user is accidentally given permissions that aren't part of their job. One or multiple roles can be assigned a user or a group. This means that you can accurately and uniformly change user permissions through their role and reduce instances where a user is accidentally given permissions that aren't part of their job.

Create a role

You can create a custom user role with the permissions that you need.

Steps:

  1. From your Shopify admin, click Settings.
  2. Click Users > Roles.
  3. Click Add role.
  4. In the Name section, enter a name for the role.
  5. In the Description section, enter a description for the role.
  6. In the Permissions section, select the role category, and then select the permissions.
  7. Optional: Depending on the role category, you can also select Apps permissions. In the App permissions section, select any apps the role can access.
  8. Click Save.

Customize a role

You can customize a predefined custom role by editing the role's permissions. You can't edit the role category of a predefined custom role.

Steps:

  1. From your Shopify admin, click Settings.
  2. Click Users > Roles.
  3. Click the custom role that you want to adjust.
  4. Make any of the following adjustments:
    • In the Name section, adjust the default name of the role.
    • In the Description section, adjust the default description for the role.
    • In the Permissions section, select or deselect permissions in any of the following sections:
      • Permissions
      • Apps permissions
      • Point of Sale
  5. Click Save.

Delete a role

You can delete any roles that you create, or predefined custom roles. System roles can't be deleted.

Steps:

  1. From your Shopify admin, click Settings.
  2. Click Users > Roles.
  3. Click the role that you want to delete.
  4. Click Actions, and then click Delete.
  5. Click Delete role to confirm. This action can't be undone.
  6. Click Save.

Assign a role to a user

You can assign roles to a user. If a user has more than one role assigned, then that user is granted the cumulative permissions from all the user's assigned roles.

Steps:

  1. From your Shopify admin, click Settings.
  2. Click Users.
  3. In the Users list, select the appropriate staff.
  4. In the Roles section, click Assign.
  5. In the Roles and groups section, click > Edit store access, and then select the stores that you want the user to access.
  6. Click Save.

Remove a role from a user

You can remove a role from a user. Removing a role removes all related permissions for that role.

Steps:

  1. From your Shopify admin, click Settings.
  2. Click Users.
  3. In the Users list, select the appropriate user.
  4. In the Roles and groups section, click > Remove role for the role that you want to remove.
  5. Click Save.

Assign a role to users in bulk

You can assign roles to users in bulk.

Steps:

  1. From your Shopify admin, click Settings.
  2. In the Organization section, click Users.
  3. In the Users list, select the checkboxes for the staff that you want to assign a role to.
  4. Click Assign role.
  5. Select a role from the drop-down menu, and then click Continue.
  6. Select the stores that you want the user to have access to.
  7. Click Done.
