Timeline

With Timeline, you can view detailed histories and write notes and comments for orders, draft orders, customers, and transfers in Shopify. All notes and comments are internal and will not be visible to your customers. If you use the Shopify app, then you can receive notifications whenever you're mentioned in a Timeline comment.

Communicating with Timeline

All communication with Timeline is internal to your store:

Timeline example

  • When you comment on something in your Shopify admin, the comment is attached to that order, draft order, customer, or transfer.
  • If you @mention another staff member, then that staff member gets an email notification with your comment.
  • If you @mention another staff member who uses the Shopify app, then that staff member gets a push notification on their phone with your comment.
  • If you don't @mention anyone, then Shopify does not notify anyone about your comment.

Caution

If you print an order page in your Shopify admin, then the printed page will include the Timeline comments for that order.

If you don't want your printed order to include comments, then uncheck the Show comments box above Timeline before you print, or use an app like Order Printer to print your orders.

Adding comments

You can add comments to orders, draft orders, customers, and transfers.

To add a comment:

  1. From your Shopify admin:

    • click Orders (or press G O) to see your orders.
    • click Orders, then click Drafts to see your draft orders.
    • click Customers (or press G C) to see your customers.
    • click Products, then click Transfers (or press G P T) to see your transfers.
  2. Click the order, draft order, customer, or transfer that you want to add a comment to.

  3. In the Timeline section, click to select the box labeled Leave a comment....

  4. Enter your comment. In the comment text, you can link to staff members, orders, customers, or products.

  5. Click Post to add your comment.

Using emojis

You can use emojis in your conversations.

To add an emoji:

  1. While writing a comment, click the button in the comment box.

  2. Click the emoji that you want to add to your comment:

Tip

You can also type emoji names surrounded by colons, like :smile:.

Mentioning staff members

You can @mention your store's staff members in comments. Staff members will get email notifications when they are mentioned in a comment. If they use the Shopify app and they have push notifications enabled, then they'll also receive an alert on their mobile device.

To @mention a staff member:

  1. While writing a comment, enter an @, and then start typing a staff member's name. Shopify will suggest staff members who match what you enter.

  2. If Shopify suggests multiple names, then use the down and up arrow keys to select a name, and press enter or return to confirm your choice:

Tip

You can also click the @ button in the comment box to choose from a list of all staff members in your store.

Linking and embedding orders, transfers, customers, or products

Similarly to how you mention staff members in comments, you can also link and embed other orders, transfers, customers, and products. Embedding a resource in your store creates a link from your comment so that people will know exactly what you're talking about.

To embed a resource:

  1. While writing a comment:

    • type #o to mention an order
    • type #d to mention a draft order
    • type #t to mention a transfer
    • type #c to mention a customer
    • type #p to mention a product
    • type #v to mention a variant
  2. Continue entering the name of the resource that you want to embed. Shopify will suggest resources that match what you enter.

    For example, to mention a product called Wool sweater, you could enter #pwool.

  3. If there are multiple suggestions, then use the down and up arrow keys to select a resource, and press enter or return to confirm your choice:

Tip

You can also click the # button in the comment box to choose from a list of all resources in your store, or paste the admin URL of a resource in your store.

Attaching files

You can attach files to add context or more information to your conversations.

There are a few reasons that you might want to attach files to your conversations:

  • You can attach a photo of an item to show its condition before shipping.
  • You can attach copies of your inventory transfer receipts to keep all the information in the same place.
  • You can attach a photo of a QR code on a shipping label.

To attach a file:

  1. While writing a comment, click the paper clip icon in the comment box:

  2. Choose the file that you want to attach using the dialog box, and then click Open.

Tip

You can also drag-and-drop files into the comment box to attach them to your message.

The file is attached as part of your comment:

Adding a profile photo

You can also add a custom photo to your profile so that it appears next to your comments.

To add an avatar:

  1. From your Shopify admin, click your username and account picture.

  2. Click Your profile:

    Click your profile image
  3. In the Account information section, click Upload photo.

  4. In the dialog box, find the image that you want to use, and then click Open.

  5. Click Save to confirm the changes to your profile.

Communicating with Timeline

  1. From the Shopify app Orders screen, tap an order.
  2. Swipe the screen down to the Timeline section. The comment field appears:

Edit comments

To edit Timeline comments:

  1. From the Shopify app Orders screen, tap the order with the comment that you want to edit.
  2. Tap the ... button beside the comment:

Delete comments

To delete Timeline comments:

  1. From the Shopify app Orders screen, tap the order with the comment that you want to delete.
  2. Tap the ... button beside the comment:

Enable Timeline notifications

You can use the Shopify app to enable Timeline notifications so that you receive an alert on your iPhone whenever another staff member @mentions you.

To enable Timeline notifications:

  1. From the Shopify app, tap Store:

  3. Under Timeline, tap the Push notifications toggle button to enable the option:

Edit comments

To edit Timeline comments:

  1. From the Shopify app Orders screen, tap the order with the comment that you want edit.
  2. Tap the button beside the comment:

  4. Edit your comment, and then tap SAVE.

Delete comments

To delete Timeline comments:

  1. From the Shopify app Orders screen, tap the order with the comment that you want delete.
  2. Tap the button beside the comment:

Enable Timeline notifications

You can use the Shopify app to enable Timeline notifications so that you receive an alert on your Android whenever another staff member @mentions you.

To enable Timeline notifications:

  1. From the Shopify app, tap Store:

  3. Under General, tap Notifications:

  4. Tap the Timeline mentions toggle button to enable the option:
