Search, view, and print orders

If you have a large number of orders, then you'll need to know how to sort them to make the list easier to search and manage.

From your Shopify admin, you can use filters to change which orders are displayed, and perform bulk actions on multiple orders at once. You can also filter your orders using a custom search and save it for faster results in the future.

From the Shopify app, you can use the search bar to filter your orders by a search term or by saved searches.

View an order

To view an order:

  1. From your Shopify admin, click Orders (or press G O):

    Orders

  2. Click the order number:

The details of the order are displayed.

Note

When a customer places an order through your Shopify store, you receive a notification of the purchase by email.

Sort your orders list

By default, your orders list is organized from newest to oldest. You can change this and sort your product list by customer (alphabetically from A-Z or Z-A), by payment status, by fulfillment status or by order total ($). This is especially useful if you have a lot of orders in your list and you need to find specific orders quickly.

For example, if you wanted to see all your least expensive orders, then you would click the Total header to sort your orders list by total order amount. This would bring the orders with the smallest total to the top of the list. If you click the Total header again, it would reverse the order, bringing your most expensive orders to the top.

To sort your orders:

  1. From your Shopify admin, click Orders (or press G O):

  2. To change how your orders are sorted, click a column header:

  3. For example, to view all orders sorted by payment status, click the Payment status column header.

  4. To reverse the sort order of your list, click the column header again.

Filter your orders list

By default, all your orders are displayed in your orders list, from newest to oldest order. You can filter out orders and change which ones are displayed by applying filters to your list.

You can filter your orders by:

  • Status: open, archived, canceled
  • Payment status: authorized, paid, partially refunded, partially paid, pending, refunded, unpaid, voided
  • Fulfillment status: fulfilled, not fulfilled, partially fulfilled, unfulfilled
  • Tagged with: filter by a custom tag created by you
  • Sales channel: filter by activated sales channels
  • Location: if you're using Shopify POS, then you'll be able to filter by store location
  • Chargeback status: needs response, under review, won, lost
  • Risk level: medium or high, high, medium, low
  • Date: in the last week, in the last month, in the last 3 months, in the last year, on or before, on or after
  • Customer: filter by customer name
  • Credit card: last 4 digits of the credit card.

Note

You can apply many filters at once to further narrow down the orders displayed in your list.

Note

The Unfulfilled filter selects orders that are partially fulfilled and orders that are not fulfilled at all. The Not fulfilled filter selects only orders that are not fulfilled at all.

To view all orders that fall under any of the above categories:

  1. From your Shopify admin, click Orders (or press G O):

  2. From the Orders page, click Filter orders:

  3. From the first drop-down menu, select the filter that you want to apply. For example, if you want to see only orders that have not yet been paid for, then select "payment status."

  4. From the second drop-down menu, select a value for your filter status. For example, if you want to see only orders that have not yet been paid for, then set the value to "pending."

  5. Click Add filter.

All orders that fit the description you've set in your filter will now be displayed.

Use bulk actions with a filter

Sorting and filtering can be used with the Bulk Actions feature.

Let's say you want to quickly capture funds for all orders pending payment, but you don't want to have to hunt down each order, open every one, and manually capture funds. In this case you could capture funds for all your pending orders at the same time by following the steps below.

To use bulk actions with a filter:

  1. From your Shopify admin, click Orders (or press G O):

    Orders

  2. Apply the filter from the Filter orders drop-down menu.

  3. Select the items you want to edit.

  4. Click Bulk actions:

  5. Click the action of your choice.

  6. Depending on what you choose, you might need to confirm your choice.

Aside from using the drop-down menus to filter your orders, you can also use the search bar located directly above your list of orders.

You can search using any term or condition you want, such as customer name, product name, SKU, or country.

To use the filter search bar, enter the term you want to use to filter your orders.

All orders that meet this condition will now be displayed.

You can also save your searches, which is especially useful for search queries that you enter often. Saving your searches produce faster results the next time you need to search for the same query.

To save a search:

  1. After filtering or searching, click Save this search:

  2. In the text box, enter the name of the saved search.

  3. Click Save:

Saved searches are updated automatically. For example, if you have filtered and saved a search as "customers with more than 10 orders", then any customers that make their 11th order will be added to that group automatically.

You might want to produce a printed copy of an order for your own records, or to include in the box when you ship to a customer.

To print an order:

  1. From your Shopify admin, click Orders (or press G O):

  2. From the Orders page, click the order number for the order that you want to print.

  3. Click Print:

  4. In the print options window, select your printer and settings and click Print.

View an order

  1. From the Shopify app, tap Orders:

Filter your orders list

You can filter your orders list to see orders that are open, unfulfilled, or unpaid. You can also filter your orders using the saved searches from your Shopify admin.

To filter your orders list using saved searches:

  1. From the Shopify app, tap Orders:

Search for orders

To search for key words in your orders:

  1. From the Shopify app, tap Orders:

  3. Shopify shows recent searches. If you see the search term that you want to use, then tap it:

  4. If want to use a different search term, then enter it in the search bar.
  5. Shopify shows orders that match your search term. If you want to see an order details screen, then tap the order:
