Order Sales reports

The Order sales report is being replaced by the Sales report. The Sales report is available to all stores on the Plus plan, and will soon be available to stores on Advanced Shopify, and Shopify plans as well.

If you are on the Shopify plan or higher, you can access reports about your orders from the Reports page in your Shopify admin.

All Order sales reports let you see information about your orders based on different criteria such as sales by month, by channel, by staff, among others.

You can access several different reports about your orders in the Order sales section:

Report assumptions

Make sure you understand the assumptions for the information you see is in the Order sales reports:

  • reports are based on the date of orders
  • showing all payment statuses by removing the automated filter causes pending, partially paid, and refunded orders to appear as positive numbers in the Total sales column
  • by default the Order Sales Report applies a payment status is paid filter, which shows orders that are paid and ignores pending, refunded, and partially paid orders

Accounting limitations

Caution

If you export an orders CSV for accounting purposes, you should note that the CSV data doesn't always match up with Shopify reports.

The orders CSV has some accounting limitations:

  • Partially paid, partially refunded, and fully refunded orders do not have a paid at date.
  • There is no captured amount total in any capacity. There is only the total amount, and no reference to what was actually captured.
  • Canceled orders appear in a separate column in the orders CSV.

Defining total sales

In the Order sales reports, there is an option to define the Total sales column:

Depending on what you want your total sales to show, you can choose certain options to be included or excluded from your reports:

Sales by month

The Sales by month report shows the number of orders and the total sales that you've made each month:

Dimension/Metric Definition
Month Month of the orders.
Canceled sales The total amount of sales that were canceled on a given date. This is based on date of the order, not on the date of cancellation.
Order count The number of orders that were placed on a given date. Canceled, deleted, pending, unpaid, and test orders are not included.
Total sales Total sales include taxes, shipping, and the amount discounted (this is the default, but you can define it in the report) for an order. Canceled, deleted, pending, unpaid, and test orders are not included.

Sales by hour

The Sales by hour report shows you the number of orders and the total sales on a more granular level than the Sales by month report. It shows you a breakdown by hour during a day:

Hour Hour of the orders.
Canceled sales The total amount of sales that were canceled on a given date. This is based on date of the order, not on the date of cancellation.
Order count The number of orders that were placed on a given date. Canceled, deleted, pending, unpaid, and test orders are not included.
Total sales Total sales include taxes, shipping, and the amount discounted (this is the default, but you can define it in the report) for an order. Canceled, deleted, pending, unpaid, and test orders are not included.

Sales by billing address

The Sales by billing address report shows you the country of the billing address for an order:

Dimension/Metric Definition
Billing country Country of billing address.
Order count The number of orders that were placed on a given date. Canceled, deleted, pending, unpaid, and test orders are not included.
Taxes The total amount of taxes based on the orders that aren’t canceled, deleted, or test orders. If orders are partially or fully refunded, they are still included. Test orders are not included.
Total sales Total sales include taxes, shipping, and the amount discounted (this is the default, but you can define it in the report) for an order. Canceled, deleted, pending, and unpaid orders are included, but test orders are not included.

Sales by customer

The Sales by customer report shows you the breakdown of orders by customer over a period of time:

Dimension/Metric Definition
Customer name The name of the customer.
Customer email The customer's email address.
Order count Orders that were placed on a given date. Canceled, deleted, pending, unpaid, and test orders are not included.
Canceled sales The total amount of sales that were canceled on a given date. Based on date of order, not date of cancellation.
Total sales Sales totals include tax, shipping, and amount discounted (this is the default, but you can define it in the report). Canceled, deleted, pending, unpaid, and test orders are not included.

Sales by traffic referrer source

The Sales by traffic referrer source shows you a breakdown of where your total financial sales are coming from (for example, direct, by a referral, or from a search engine):

If you want to see this breakdown at a specific product level, you can use the Gross sales by traffic referrer source report.

Make sure you understand the terms used in the Sales by traffic referrer source report.

Sales by traffic referrer

The Sales by traffic referrer shows you a more granular breakdown of where your total financial sales are coming from (for example, direct, by a referral, or from a search engine) than the Sales by traffic referrer source report. It shows you this information based on the specific site that the traffic is coming from:

Traffic source Breaks down where the order comes from. Can be either Direct, Referral, Search Engine, or Social.
Site The site of the referral, for example, google.com.
Order count Orders that were placed on a given date. Canceled, deleted, pending, unpaid, and test orders are not included.
Total sales Sales totals include tax, shipping, and amount discounted (this is the default, but you can define it in the report). Canceled, deleted, pending, unpaid, and test orders are not included.

Sales by channel

You can use the Sales by channel report to see the amount of sales coming in through the various channels you have available in your store (for example, online, POS, Facebook):

Sales by staff member

The Sales by staff member report shows you the sales made by individual staff member:

Location The name of the location where your POS terminal is.
Staff member The name of the individual staff member who processed the sale.
Order count Orders that were placed on a given date. Canceled, deleted, pending, unpaid and test orders are not included.
Total sales Sales totals include tax, shipping, and amount discounted (this is the default, but you can define it in the report). Canceled, deleted, pending, unpaid, and test orders are not included.
