Setting up and managing price lists on the Shopify Collective sales channel

You can create price lists and share them with your retailers. A price list is a group of products with a discounted 'cost price' that you share with specific retailers. Retailers can import products that you share with them to their stores and start selling your products.

Price list details

When you create a price list, you can add products to the price list, assign access to specific retailers, set a retailer margin for your products, and manage whether the price list status is Active or Draft.

By assigning retailers access to your price lists, you share your product details and inventory.

Product information

Your product information, such as title, description, price, and variants, is imported to a retailer's store. A retailer can adjust all product details in their stores, except for the product price, compare-at price and cost price. Retailers can list your products only at the retail price you specify within your price list.

The following product information is imported to your retailer's store:

  • price
  • inventory
  • product title
  • product images
  • product description
  • variants
  • vendor (the supplier)
  • product type
  • product category
  • cost price
  • SKU (Stock Keeping Unit)
  • barcode
  • country (region of origin)
  • HS (Harmonized System) code
  • compare-at price

The following product information isn't imported to your retailer's store:

  • collections
  • tags
  • discount codes

Product information and inventory sync

After your product information is imported to a retailer's store, Shopify Collective continuously syncs product price, compare-at price, cost price and inventory, but doesn't sync other imported product information. After a customer buys your product through the retailer's store, your inventory is automatically updated in your store.

The average sync time is less than 30 seconds, but can take up to five minutes. So extremely high volume order events might result in overselling.

If you want to sync other product information, such as product images or variants, with the retailer's store, then you can remove the product from the price list and re-add the product to the price list.

Out of stock products

If your product that you share with a retailer is out of stock and you have the Continue selling when out of stock option activated, then a retailer can still continue selling your product.

You might want to notify your retailer about out of stock products manually, and share an expected shipping date. A retailer can't deactivate the Continue selling when out of stock option in their store.

Cost price

When you create a price list, you can choose to include a retailer margin that applies to all products included in a price list. The retail price per product minus the retailer margin determines the amount a retailer will owe you for each sale they generate. This amount is indicated as the cost price.

For example if a product’s retail price is 100 USD and the retailer margin is 30%, then the retailer keeps 30 USD per sale and pays you 70 USD. When a retailer imports your product, the cost price of 70 USD displays in their admin as the cost per item.

A retailer can't edit the product retail price, compare-at price or cost price that you set. If you update the product retail price, compare-at price or cost price in your store, then they automatically recalculate and update in your retailer's store.

You can create an unlimited number of price lists, with a retailer margin that applies to all products included on any one list. You can't currently set individual cost prices for products on a single price list.

Sale prices

You can use the compare-at price to put products on sale on retailer stores. When you set a compare-at price lower than the product price this will be synced to the Retailer store. Whether and where sale prices display on the retailer's storefront depends on their theme.

Price list retailer access

After you invite and connect with a retailer on Shopify Collective, you can assign access to specific price lists. A single price list can be assigned to multiple retailers. You can also remove access to price lists for specific retailers.

Price list status

Your price list can have one of the following statuses:

  • Active status means that products included in the price list are available to import and sell by any retailers assigned.
  • Draft status means that a price list isn't available to any assigned retailers, and the products listed aren't available to import and sell.

If you select Active status, then retailers that you assign access to a price list receive an email that lets them know about the available products. Retailers can import and start selling your products on their stores immediately.

Create a price list

  1. From your Shopify admin, click Settings > Apps and sales channels.
  2. From the Apps and sales channels page, click Collective (Supplier).
  3. Click Open sales channel.

  4. From the Collective (Supplier) sales channel, click Price lists.

  5. Click Create price list.

  6. Add a Title. This won't be visible to retailers.

  7. In Status, select Active or Draft.

  8. In Retailer access, search for and select the retailers that you want to share this price list with.

  9. In Pricing, enter the retailer margin.

  10. Click Save.

  11. Add products to your price list:

    1. Click Add products.
    2. Then either:
      • Bulk select all visible products on the page (up to 50), or then 'Select all products' to include your complete catalog.
      • Or enter a search term or apply filters to curate specific products.
    3. Select products that you want to add to the price list.
    4. Click Save.

Add or remove products from your price list

You can add or remove products from your existing price lists. If you remove products from an active price list, inventory will be set to zero for all retailers who have imported these products. This makes them unsellable on the retailer's storefront. They'll be notified to delete these products, or set them to draft to remove them from public view.

Steps:

  1. From your Shopify admin, click Settings > Apps and sales channels.
  2. From the Apps and sales channels page, click Collective (Supplier).
  3. Click Open sales channel.

  4. From the Collective (Supplier) sales channel, click Price lists.

  5. Select a price list to manage.

  6. In the Products section, add or remove products from your price list:

    • To add products to your price list:
      1. Click Add products.
      2. Then either:
      3. Bulk select all visible products on the page (up to 50), or then 'Select all products' to include your complete catalog.
      4. Or enter a search term or apply filters to curate specific products.
      5. Select products that you want to add to the price list.
      6. Click Save.
    • To remove products from your price list:
      1. Select the products that you want to remove.
      2. Click Remove products.
  7. Click Save.

Manage access to your price list

You can add new retailers or remove existing retailers from your price lists.

If you remove a retailer's access to a price list, inventory will be set to zero for all products that they had imported. These products immediately become unsellable on the retailer's storefront. Your retailer is notified that your products can no longer be sold, but they're not given a specific reason. It's recommended that you contact your retailer before you remove their access to specific products.

Steps:

  1. From your Shopify admin, click Settings > Apps and sales channels.
  2. From the Apps and sales channels page, click Collective (Supplier).
  3. Click Open sales channel.

  4. From the Collective (Supplier) sales channel, click Price lists.

  5. Click a price list that you want to manage access to.

  6. In Retailer access, either search for and add a retailer, or click the 'X' on any retailer you want to remove.

  7. Click Save.

Deactivate your price list

If you want to stop using a price list temporarily, then you can deactivate it by setting its status to Draft. Your price list isn't deleted, it's made unavailable to all retailers assigned. You can return to this price list and set it to Active any time.

Steps:

  1. From your Shopify admin, click Settings > Apps and sales channels.
  2. From the Apps and sales channels page, click Collective (Supplier).
  3. Click Open sales channel.

  4. From the Collective (Supplier) sales channel, click Price lists.

  5. Click a price list that you want to deactivate.

  6. In the Status section, select Draft status.

  7. Click Save, and then click Save as draft.

Delete your price list

If you no longer want to use your price list, then you can delete it permanently. Before you can delete an Active price list, you must first set its status to Draft.

Steps:

  1. From your Shopify admin, click Settings > Apps and sales channels.
  2. From the Apps and sales channels page, click Collective (Supplier).
  3. Click Open sales channel.

  4. From the Collective (Supplier) sales channel, click Price lists.

  5. Click a price list that you want to delete.

  6. Optional: If your price list's status is Active, then change the status to Draft, and then click Save.

  7. Click Delete price list, and then click Delete price list.
