Searching, viewing, and printing orders

By default, all your orders are displayed on the Orders page. You can customize your order views or create new views that include the filters, sorting, and column arrangements that help you quickly access and prioritize groups of orders in the future.

Viewing details from the orders list

When you click on parts of the orders list, you can quickly view order details in pop-ups.

Pop-ups are available for the following columns:

  • Customer
  • Items

For example, you can click a customer's name for information like customer location, number of orders, and contact information.

The icons beside your order numbers also provide extra information. For example, you can tell when there are notes or comments on the order, or when the order is at high risk of fraud. Hover your cursor over an icon to open the pop-up.

Filtering orders

From your Shopify admin, you can use different types of filters to change which orders are displayed, and to perform bulk actions on multiple orders. You can also filter your orders using a custom search. To reuse filters or filter combinations, save them as order views.

You can do the following with order filters:

Filter your orders

Filters determine which orders are displayed in an order view. For example, the All view has no filters. The default Unfulfilled view uses the Fullfillment status filter with a value of unfulfilled to display all of your store’s unfulfilled orders.

When you select filters, you can also combine them to display orders that match multiple criteria. For example, you can combine the Low risk and Unpaid filters to view a list of your store's orders that are both low risk and unpaid.

You can use the following filters on your order list:

  • Delivery Method: local delivery, local pickup, ship to customer
  • Destination: continent, country, and state/province that an order is shipped to
  • Status: open, archived, canceled
  • Payment status: authorized, paid, partially paid, partially refunded, pending, refunded, unpaid, voided
  • Product: filter by product title or SKU
  • Fulfillment status: fulfilled, unfulfilled, partially fulfilled, scheduled, on hold
  • Delivery status: in transit, out for delivery, attempted delivery, delayed, failed delivery, delivered, tracking added, no status
  • Return status:return requested, return in progress, returned
  • Tagged with: filter by a custom order tag
  • Not tagged with: filter orders that have not been tagged with a custom order tag
  • App: filter orders by app
  • Channel: filter by sales channel
  • Chargeback and inquiry status: open, submitted, won, lost, any
  • Risk level: high, medium, low
  • Date: in the last week, in the last month, in the last 3 months, in the last year, or custom
  • Credit card: last 4 digits of the credit card
  • Label status: the status of Shopify Shipping labels in the fulfillment process: draft, pending purchase, purchased, pending cancellation, canceled
  • B2B: filters business-to-business (B2B) orders, which are orders placed on behalf of a company

Steps:

  1. From your Shopify admin, go to Orders.

  2. Click the search and filter icon.

  3. Click Add filter +.

  4. Select a filter cateogry to filter your orders by.

  5. Select a value for the specific filter. The values available to you are different depending on the filter that you select.

  6. Optional: To save this view, click Save as to enter a name for the saved view, and then click Save view.

Filter orders using custom terms

You can use the search bar to filter your orders with a custom term. A custom term can be used as a filter on its own, or in combination with filters in the existing categories. For example, you can filter your orders by searching for a customer name, product name, SKU, order number, or country.

If you expect to reuse the custom search term on its own or combined with other filters, then save it to a view.

Steps:

  1. From your Shopify admin, go to Orders.

  2. Click the search and filter icon.

  3. In the search bar, enter a custom term as name:value.

  4. Optional: To save this view, click Save as to enter a name for the saved view, and then click Save view.

Filter orders by their location

If your store has multiple locations, then you can filter your orders by location. Location is set separately from other filters that you can save in order views. When you change the location, the new location is applied to all your views.

Steps:

  1. From your Shopify admin, go to Orders.

  2. Click the location selector.

  3. Select the appropriate location.

Match third-party payment information with Shopify orders

When a charge, refund or capture occurs on your Shopify store, a payment ID is sent to your payment provider. If your payment provider records and uses this payment ID, then you can use this payment ID to search for the order within your Shopify account. If your payment provider doesn't record or use this payment ID, then contact your payment provider for the best way to match orders on Shopify to their order records.

Steps:

  1. From your Shopify admin, go to Orders.

  2. Search using the custom term payment_id: and the payment ID value. For example payment_id:xxx. Alternatively, you can search using the payment_id directly, without any custom terms.

  3. Click the order.

Show, hide, and reorder columns

To optimize each of your order views, you can display, hide, and reorder columns. You can reorder any column, with the exception of the Order column. The Order column is always displayed first in the table.

Steps:

  1. From your Shopify admin, go to Orders.

  2. Click the tab with the view that you want to make changes to.

  3. Click the Edit columns icon.

  4. Click the Hide or View icons on each column to hide or show a column, or click and drag the columns to reorder them.

  5. Click Save.

Order views

An order view is a customized view of your orders based on criteria that you set up to help you complete a task more efficiently. Order views are created with saved filters, column choices, column order, and sort order. Order views are displayed as tabs on the top of the Orders page. You can customize order views, and create, rename, or delete views. When you create a new order view, it's added as a new tab on the Orders page.

The following order views are the default views:

  • All
  • Unfulfilled
  • Unpaid
  • Open
  • Closed
  • Local Delivery is also displayed if Locations is activated for your store.

In any order view except All, you can make the following changes and save them to the current view or save them as a new view:

  • select filters
  • display or hide columns
  • reorder columns
  • select the sorting criteria and sorting order
  • filter with a custom search term
  • rename the view
  • delete the view

Although you can't change or delete the All view, you can create a new view that is based on the All view.

The orders included in saved views are updated automatically. For example, if you saved a filter for Paid orders, then any orders that become paid are added to that order view automatically.

Create a new order view

You create new order views based on existing order views.

You can change the filters and sort order before or after you save to a new view. You can also edit the columns by editing a saved view.

Steps:

  1. From your Shopify admin, go to Orders.

  2. Filter your orders, or change the sort order by clicking the column header that you want to filter by.

  3. Do one of the following:

    • If you filtered your orders, then click Save as and enter a view name, then click Save view.
    • If you changed a sort order, then click the + and enter a view name, then click Create view.

Make changes to an order view

You can save changes to any view except the All view. You can customize only the column order on the All view.

Steps:

  1. From your Shopify admin, go to Orders.

  2. Click the saved view tab that you want to make changes to.

  3. Click the Search and filter icon to make changes to filters or sort order.

  4. To change the sort order, click the Sort icon or click the column header.

  5. Click the Edit columns icon to make changes to the column order.

  6. Click Save.

Delete an order view

You can delete order views that you don't need anymore, with the exception of the All order view.

If you decide that you need a default order view that you've deleted, then you need to create it again. For settings information, refer to Default settings for order views.

Steps:

  1. From your Shopify admin, go to Orders.

  2. Click the tab for the saved view that you want to delete.

  3. From the drop-down menu, click Delete view.

  4. To confirm the deletion, click Delete view.

Use bulk actions with an order view or filter

In any order view, you can select some or all of the orders and perform bulk actions on them.

Steps:

  1. From your Shopify admin, go to Orders.

  2. Click an order view.

  3. Select the items that you want to edit.

  4. Click an action or click More actions, and then select an action from the list.

  5. If you are prompted, then confirm your choice.

You might want to produce a printed copy of an order for your own records, or to include in the box when you ship to a customer.

Steps:

  1. From your Shopify admin, go to Orders.

  2. From the Orders page, click the order number for the order that you want to print.

  3. Click Print > Print order page.

  4. In the print options window, select your printer and settings and click Print.

Default settings for order views

The following table provides a description of the default order views. If you delete a default order view, then you can use this description to help you to recreate the view.

For each default order view, this table names the view, the filters that are selected for the view, and the columns that are displayed in the view.
